Email templates & notifications

Know which messages are prepared and what is needed for delivery.

Prepared learning messages

Learning messages have branded HTML and plain-text templates, validated action URLs and timezone-aware dates. Shared SMTP transport supports sender display names and each template’s subject. Automated learning-event scheduling and delivery workflows remain incomplete; creating an assignment does not currently prove that an email was sent.

  • Invitation and welcome.
  • New assignment, due soon and overdue.
  • Course completion and certificate availability.
  • Report ready.

Identity-service messages

The branded Keycloak theme covers identity emails such as verification and password-related messages. Actual delivery requires SMTP configuration and the corresponding identity flows to be enabled by the operator. Password reset should not be advertised as available until that path is tested.

Test safely before rollout

Development installations can capture application and identity emails in a local inbox instead of sending them to real recipients. A captured email is not an external delivery. Production uses a separately configured mail provider.

Your operator configures shared application mail and Keycloak identity mail separately. Company support details do not configure SMTP, and changing application mail settings does not enable password recovery or send messages automatically.

Plan a deliverable rollout

Learning inbox is an in-app action list, not proof of email delivery. Messages has a separate optional SMTP alert worker, recipient preferences and delivery ledger. A company support address does not configure outbound SMTP.

  1. Agree sender identity, reply-to and support ownership.
  2. Arrange an approved mail provider and domain authentication.
  3. Complete the required sender and worker integration for learning notifications.
  4. Test HTML and plain-text messages, links and timezone rendering with safe test recipients.
  5. Define retry, bounce, delivery audit and notification preferences before enabling automated sends.
